P2M Rules & Guidelines

P2M and Host Event Expectations

P2M highly encourages all parents, players, and coaches to read this in its entirety.

Please take time to review this page to understand the reasoning behind decisions or changes during games. Additionally, these rules and guidelines outline the expectations P2M coaches, players, parents, and guests are required to follow throughout the event.

These standards are in place to ensure a safe, respectful, and fair environment for everyone involved. Failure to comply with these guidelines may result in disciplinary action, which may include a verbal warning, temporary or permanent removal from the event, disqualification of a participant or team, forfeiture of any associated fees, and potential suspension from future P2M access.

These consequences will be enforced at the sole discretion of the event host and/or P2M representatives, based on the nature and severity of the violation. By attending or participating in any P2M teams or activity, all individuals acknowledge their responsibility to uphold these standards.

Performance Expectations (Ages 12U – 18U)

These guidelines and rules are intended to support a competitive, positive, and enjoyable team environment while encouraging each player to reach their highest potential. Baseball is both an individual and a team sport—We win together, but only if you are your best.

Infield/Outfield

  • Fielding: Players are expected to maintain consistent defensive performance. Committing 2 errors at a single position in an inning may result in a position change at the coach’s discretion. This guideline applies to all positions except pitcher and catcher, which are evaluated under a separate criteria.
  • Players are encouraged to attempt throws to first, second, and third base when appropriate. Missed throws are part of development, but 3 throwing errors that result in runs or extended innings may result in positional changes.
  • Outfield: If an outfielder is not in position to receive the ball directly, they should be actively moving on every hit ball to back up any potential missed throws or infield errors. Anticipation and hustle are expected at all times.

Pitchers

  • Warm-Up & Recovery: Pitchers shall be given adequate time to warm up and stretch before taking the mound and shall also cool down and stretch after pitching to help prevent injury.
  • Walk Limit per Inning: (Bracket Play / +1 Pool Play)
    • After 2 walks (3 in pool play) in a single inning: A mound visit will be made to give the pitcher a chance to reset and refocus.
    • After 3 consecutive walks (4 in pool play)in the same inning: The pitcher should be consider for removal from the mound.
    • After 5 walks (6 in pool play) in the same inning: The pitcher will be removed from the mound.
  • Pitch Count – Pool Play: A pitcher may not exceed the pitch or inning count threshold that requires 1 day of rest, to ensure eligibility to pitch the following day during bracket play, unless absolutely necessary. Pitchers should remain within these limits during pool play.
  • Note: Each event host may have different pitch count or innings rules. Please refer to the specific tournament or event rules for detailed pitch count and rest day requirements for each age.

Catchers

  • Equipment: Catchers must be fully and properly equipped at all times when behind the plate, including helmet with throat guard, chest protector, leg guards, and protective cup. No exceptions will be made for safety reasons.
  • Errors allowed per inning:
    • Dropped 3rd Strike: A catcher is permitted a maximum of 2 dropped 3rd strikes per inning that do not result in an out. After the second, the coach may evaluate whether a catcher switch is necessary to maintain team performance.
    • Passed Balls: If a catcher allows 8 or more passed balls in a single inning that lead to runners advancing, the coach should evaluate whether a position change is needed—either for the catcher or pitcher—or if a short break for rest, removal for over heating, or water is appropriate. This decision should prioritize safety, player development, and overall team success.
    • Throwing to Bases: Catchers are encouraged to make throw attempts to first, second, and third base when the play is appropriate. Mistakes are part of the learning process; however, if 3 throwing errors lead to runs or prolong the inning, coaches may adjust infield or catcher positions or decide to temporarily limit the catcher from making further throw attempts.
  • Communication & Leadership: Catchers are expected to lead the field, maintain vocal communication with pitchers and infielders, and demonstrate strong game awareness. Being a catcher is a leadership role, and those who wear the gear are held to a higher standard of focus, hustle, and attitude. Catchers are encouraged to call time to talk to the pitcher and provide them both a rest period.
Attitude and Behavior Expectations (All Ages)

Disciplinary Action Overview

Depending on the severity and frequency of the violation, consequences may escalate from verbal warnings to game removal, event suspension, or full disqualification from P2M teams and activities. All decisions are at the discretion of P2M and/or event staff. Refunds will not be provided for any decision or actions.

Please remind your players, everyone has an off day; it’s about how they focus that frustration and failure to be stronger and better the next game. Please encourage the team to uplift anyone struggling.

Throwing or Slamming Gear (Bats, Helmets, or Other Equipment)

This behavior will not be tolerated. A verbal warning will only be issued once per event. In any subsequent game during the same event, if a warning has already been given, enforcement will begin at the second violation level.

  1. 1st Violation: A single verbal warning will be issued. Only one warning is given per player for the entire event.
  2. 2nd Violation: The player will be benched for the remainder of the game and may only bat. The head coach must notify the player’s parent or guardian.
  3. 3rd Violation: The player will be benched for the remainder of the game and will not be allowed to bat. The team will take an automatic out in that spot in the lineup. The head coach must notify the player’s parent or guardian and P2M.
  4. Continued Violations: If this behavior continues beyond the third violation, P2M may suspend the player from future P2M teams and activities.

Dugout and Field Behavior

  • Foul Language: Use of profanity or inappropriate language is not allowed at any time—whether directed at teammates, opponents, umpires, coaches, or oneself.
  • Disrespectful Behavior: This includes eye-rolling, backtalk, or ignoring coaches, teammates, or officials.
  • Criticizing, Blaming, or Disrespecting Teammates, Coaches, Umpires, or Opponents: Players are expected to support one another and represent the team with integrity. Criticizing, blaming, or showing disrespect toward teammates or opponents—on or off the field—will not be tolerated. This includes negative body language, verbal comments, or any behavior that undermines team unity or sportsmanship. Encouragement and positive communication are required at all times.
  • Distracting or Disruptive Behavior: Excessive joking, horseplay, or being off-task in the dugout takes away from focus and team unity. Players are expected to remain engaged in the game and ready to contribute. Appropriate chanting and positive energy that support the team are encouraged, but must remain respectful, controlled, and never directed negatively at opponents, umpires, or teammates.
  • Respect for Umpires and Coaches: Players must not argue with umpires, question calls directly, or display negative reactions to questionable decisions. If a player strongly disagrees with a call, they may respectfully request time and discuss the situation with their coach. The coach will determine whether and how to address the matter with the umpire. All game-related communication with officials must go through the coaching staff.
Equipment and Gear

Use of Modified or Illegal Bats or Communication Devices

The use of altered, doctored, or otherwise non-compliant bats and communication devices is strictly prohibited on all P2M teams.

Modified bats include (but are not limited to) bats that have been:

  • Rolled, shaved, or end-loaded
  • Had their manufacturer specifications altered in any way
  • Tampered with to enhance performance beyond legal standards

All bats must comply with the official bat rules of the event host or governing body (e.g., USA Baseball, USSSA, BBCOR, etc.). Bats may be inspected at any time by event officials or coaches.

Penalties for using a modified or illegal bat or communication device may include:

  • Immediate ejection of the player
  • Forfeiture of the game
  • Disqualification of the team from the event
  • No refund of any kind for players or coaches involved and termination of P2M account.

By participating, you agree to abide by all equipment rules and accept the consequences of non-compliance.

Parent Expectations

To foster a positive, safe, and respectful environment for players, coaches, officials, and other families, parents are expected to abide by the following guidelines during games, practices, and team events:

  • GameChanger: Parents may be requested to run GameChanger during games. If you are willing to help with this important task, please notify the coach in advance. This will also help players be selected for All-Star games.
  • Team Communication: Please respect coaching decisions and understand that not all decisions work as intended. Any questions or concerns should be directed to the coach privately and only after a 24-hour cooling-off period.
  • Talking to the Umpire: Parents must not approach, argue with, or engage in direct conversations with umpires before, during, or after games. All communication with officials must be handled exclusively by the coaching staff or gamechanger volunteer.
  • Negative Behavior: Negative comments or actions directed at players, coaches, officials, or opposing teams will not be tolerated. Parents should model good sportsmanship, demonstrating respect and composure at all times.
  • Sideline Coaching: Parents should avoid coaching from the stands by shouting instructions, correcting players, or interfering with gameplay. This disrupts team dynamics and undermines coaching authority. Understanding P2M teams are unique you may provide your player with reminders as they work on their development off the field and outside the dugout only.
  • Alcohol or Drug Use: The use of alcohol or drugs at youth sporting events is strictly prohibited, unless explicitly offered or permitted by the event host. Any parent found under the influence or in possession of such substances during games or team events, outside these exceptions, may be asked to leave and face further consequences.
  • Attendance & Punctuality: Legal guardians are responsible for ensuring their players arrive on time, properly equipped for their role/positions, and ready to participate at all scheduled games.
  • Respect for All Participants: Treat all players, coaches, officials, and other parents with respect and courtesy, regardless of game outcomes or personal differences.
  • Support for Player Development: Encourage positive reinforcement, focusing on effort, sportsmanship, and growth rather than just winning.
  • Handling Concerns: Any issues regarding coaching decisions, player safety, or team policies should be addressed privately and respectfully with the coaching staff, following the team’s communication protocols.
  • Social Media Conduct: Legal guardians should refrain from posting negative, disrespectful, or inflammatory comments about players, coaches, officials, or the team on any social media platforms.
  • Emergency Procedures: A legal guardian must be physically present or have a designated, responsible adult on-site during all team activities and events in case of an emergency. Players may not be dropped off under the assumption that another parent or adult will assume responsibility without prior arrangement and approval.
Coach Responsibilities

Player Safety & Boundaries

The safety and well-being of every player is our top priority.

  • One-on-One Interactions (In Person): At no time should a coach and child be alone together without the knowledge and permission of the parent or legal guardian. All meetings, conversations, or transportation arrangements must be conducted in a setting where transparency is maintained and parents are fully informed.
  • Accountability: Coaches must ensure that all interactions with players are observable and interruptible, whether at practices, games, or team activities. Private or secretive contact with players is strictly prohibited.
  • Digital Communication:
    • Coaches must not communicate privately with players through text, email, or social media.
    • All team-related communication should occur through group messages or platforms that include parents and/or guardians.
    • If a one-on-one message is unavoidable (such as confirming arrival time), the parent or guardian must be copied on the communication.
    • Coaches may not “friend,” “follow,” or engage in private chats with players on personal social media accounts.
  • Zero Tolerance Policy: P2M has a zero tolerance policy for violations of these boundaries. Any breach—whether in person or digitally—will result in immediate removal from coaching duties, termination of participation in P2M events, and referral to the appropriate authorities if necessary.
  • All coach-player interactions, both in person and online, must prioritize safety, transparency, and accountability at all times.

Conduct & Leadership

  • Conduct & Leadership: Coaches serve as the face of the team and set the tone for behavior, team ethic, and sportsmanship. Coaches are expected to lead with composure, discipline, and professionalism at all times—on and off the field. P2M holds coaches to a high standard of accountability.
  • Event Preparation: Coaches are required to contact their roster at least four days before the event to confirm attendance. Event times and schedules are generally finalized two days prior and can be accessed via the link provided during the event request. Coaches should regularly check the event site for updates on pool play, fields, times, and locations and promptly notify parents and players of the confirmed details, including meeting time and place. Unless otherwise specified, the general guideline is to meet one hour before the game at the batting cages.
  • Game Preparation: Coaches are responsible for ensuring players are warmed up and prepared for each game—this includes arriving early, organizing warm-ups, communicating expectations, and maintaining a game plan. Coaches should also monitor pitch counts and player fatigue to promote safety and performance.
  • Playing Time & Lineups: While equal playing time is not guaranteed, coaches are expected to manage rosters with fairness, transparency, and integrity. During pool play, coaches are provided with a batting lineup to help assist with randomizing the order. In bracket play, coaches have the flexibility to set lineups and assign positions based on performance, team needs, and game strategy. Playing time decisions take into account player development, team dynamics, and overall game execution. If a player inquires, coaches should be prepared to explain their decisions clearly and respectfully.
  • Encouragement and Development: Coaches must focus on building confidence, resilience, and a positive team culture. Criticism should be constructive, and feedback should be delivered in a way that supports the athlete’s growth. Public humiliation or punishment-style coaching is strictly prohibited.
  • In-Game Behavior: Arguing, disrespecting umpires, yelling at players, or engaging in aggressive confrontations with spectators or opponents will not be tolerated. One warning may be issued depending on the severity of the behavior, followed by removal from the game or event. Repeated violations may result in suspension from future P2M activities.
  • Umpire Interaction: Only head coaches may engage with umpires regarding calls or rule interpretations. Assistant coaches and players must refrain from commenting on or arguing calls. All communication should remain calm, respectful, and solution-focused.
  • Injury Protocols & Player Safety: Coaches have access to each player’s emergency contact information through the coach dashboard for the event. Under no circumstances should a player return to play if they exhibit signs of injury—such as concussion symptoms, arm fatigue, or joint pain—without clearance from a parent, legal guardian, or qualified medical professional.
  • If a player requires the application of ice to any joint or injury-prone area (e.g., ankle, elbow, shoulder), they are not permitted to re-enter the game until they have been fully warmed up and medically cleared by a parent, guardian, or healthcare provider. Icing can tighten muscles and may temporarily reduce an athlete’s flexibility or range of motion, so it should be used thoughtfully, especially before activity.
  • It is the responsibility of the parents, legal guardian and event host staff to manage and provide any necessary medical equipment and to implement appropriate procedures in the event of an injury. Coaches must prioritize player safety and act with caution when handling all injury-related matters. Please see our insurance section for further information.
  • Event Changes & Weather Delays: Game schedules and formats are subject to change due to weather, field conditions, or unforeseen circumstances. Coaches are expected to notify families and players (via email or text) of updates and respond accordingly.
  • Alcohol or Drug Use: The use of alcohol or drugs at youth sporting events is strictly prohibited as a coach. Any coach found under the influence or in possession of such substances during games or team events will be banned from use of the P2M website, its services, and all future events.
  • Reporting & Documentation: If a coach, parent, or player is suspended, ejected, or benched due to misconduct, the head coach is required to report the incident to P2M within 48 hours by submitting the Misconduct Form.

Background Checks

To ensure the safety and well-being of all participants, P2M and insurance requires that all coaches, volunteers, and staff involved in events undergo a background check. These screenings, which include criminal history and relevant clearance verifications, are conducted prior to beginning any coaching responsibilities and are repeated periodically. Continued participation is contingent upon the successful completion of these background checks.

Coaches and volunteers must comply with all background check procedures. Any individual with disqualifying findings will be prohibited from participating in coaching or supervisory roles. This policy is in place to maintain a secure and trustworthy environment for players, families, and staff. You will be informed based on the approval or denial of your coach account status. Please note that P2M does not have direct access to background check results; these are managed and communicated through our provider as approved or denied.

Events Hosts

Event hosts establish specific rules based on the event and age division, which may be updated at any time. For the most accurate and up-to-date information, coaches are advised to consult the event host’s official page directly. Event rules are typically distributed to coaches via email prior to the event.

Age Calculator

This age calculator provides a general guideline and may not accurately reflect the specific age requirements or exceptions set by individual event hosts. We strongly recommend visiting the event host’s website and using their official calculator for the most accurate information if you have any questions on play eligibility within a certain age group. Grade exceptions must be preapproved by the host when we add you to the roster.
